1.2. Automatically Collected Information
In addition to information you provide, we automatically collect certain data to enhance the user experience, improve the platform, and track how users interact with the services.
Usage Data: We track how you use VPortal, including the pages you visit, the time spent on the platform, your search history, clicks, and actions. This helps us understand what features are popular and identify areas for improvement.
Device and Technical Information: When accessing VPortal, we may collect information about the device and browser you use, including your IP address, device type, operating system, browser type, and unique device identifiers. This data allows us to optimize the platform for various devices and troubleshoot technical issues.

1.3. Information from Third Parties
Social Media and External Accounts: If you choose to link your MiVolunteer or VPortal account to a social media platform (such as Facebook, Discord, or Google), we may collect your publicly available information from those platforms, such as your username, public profile, and any data you allow us to access. This helps streamline the registration and login process.

1.4. VCard Data and Usage
In addition to the data mentioned above, we also collect and manage information related to VCards through our VCard integration. VCards are personal identification cards linked to users, providing functionalities such as check-ins, rewards, and personalized experiences.
VCard Management: VCards are integrated into our system using an API that allows external systems and partners (such as service providers and organizations) to manage VCards. This includes activating or deactivating a VCard, viewing its history, points, and ensuring that VCards are properly linked to volunteer activities and transactions. Only authorized systems or VPortal support can make role or status changes to VCards.
VCard QR Codes: Each VCard is linked to a unique QR code, allowing for easier scanning during check-ins, perk purchases, or other activities. This helps with tracking and rewarding users based on their participation in various volunteer opportunities and activities.
System Integration: VCards are used to track user activities across various systems, including volunteer check-ins, purchases, and VPoints usage. This allows users to accumulate rewards and track their involvement. VCards are also integrated into custom post types like opportunities, allowing users to check-in to these posts and earn points.
User Stats and History: VPortal keeps track of user activity associated with their VCard, including total check-ins, purchases, and earned VPoints. Users can view their stats and history in their profiles, providing transparency and visibility into their activity on the platform.

This typically includes your name, contact information, skills, and other details necessary for the organization to evaluate your application or engage with you.

These providers assist with services such as data storage, hosting, analytics, payment processing, and customer support. We ensure that all third parties we work with are bound by appropriate data protection agreements to safeguard your information.
3.3. For Legal and Security Reasons
We may disclose your information if required to do so by law, such as in response to legal processes, regulatory inquiries, or government requests. 4. Your Rights and Choices
As a user of MiVolunteer and VPortal, you have specific rights regarding your personal data, including the ability to access, update, or delete your information. You also have rights related to the processing of your personal data. Below, we explain how you can exercise these rights:
4.1. Right to Access and Rectification

4.2. Right to Erasure
You can request that we delete your personal data, subject to certain exceptions (such as when we need to retain the data for legal or contractual purposes). If you wish to exercise this right, please contact us.
4.3. Right to Object
You have the right to object to certain types of processing of your personal data, including direct marketing. If you object to marketing communications, we will honor your request to stop sending you such messages.
4.4. Right to Restrict Processing
You may request that we restrict the processing of your personal data in certain circumstances, for example, if you believe that the information is inaccurate or that the processing is unlawful.
4.5. Right to Data Portability
If you wish, you can request a copy of your personal data in a commonly used, machine-readable format so that you can transfer it to another service provider.
4.6. Right to Withdraw Consent
If we rely on your consent to process your personal data, you have the right to withdraw your consent at any time. Please note that withdrawing your consent will not affect the lawfulness of processing based on consent before its withdrawal.
If you wish to exercise any of these rights, please contact our Data Protection Officer at [your contact details]. We will respond to your request as required by applicable privacy laws.
5. Data Security
We take the security of your personal data seriously. MiVolunteer and VPortal implement a variety of technical, organizational, and administrative measures to protect your data from unauthorized access, use, or disclosure. These measures include encryption, secure data storage, and regular security audits.
However, please be aware that no security system is completely foolproof. While we strive to protect your personal information, we cannot guarantee its absolute security.
6. Data Retention
If you choose to delete your account, we will remove your personal data as soon as possible, subject to applicable retention requirements for legal and business purposes.
7. VCard Data Use and Management
In addition to the data collected through MiVolunteer and VPortal, we also use VCard data for specific functions outlined below:
7.1. External System Integration
VCards are integrated with an API that allows partners, perk providers, and other external systems to interact with and manage VCard data. Through this integration, external systems can activate, deactivate, or view the history of a VCard, but certain changes, such as role modifications, are restricted to VPortal support.
When a VCard is deactivated or reactivated via an external system, this action is logged and stored for security and auditing purposes.
7.2. QR Code for VCards
Each VCard includes a unique QR code that can be scanned for easy access. This QR code is stored with the VCard data and linked to a user's profile. The QR code allows users to check in/out, redeem rewards, and track their points across various partner systems.
7.3. Integration with Opportunities and Rewards
VCards are also linked to volunteer opportunities posted on VPortal. This allows users to check in to opportunities and automatically accumulate points, which can be redeemed for rewards.
When users interact with opportunities (e.g., by checking in), their VCard data is used to associate their actions with specific posts. This integration helps streamline the check-in process and ensure users earn rewards based on their participation.
7.4. User Stats and History
We track and display data such as total check-ins, rewards points earned, and any other relevant activities linked to the VCard. This information is displayed on the user's VPortal profile and can be accessed through the dashboard or relevant reports.
7.5. Regeneration and Deactivation of VCards
Users can request a new VCard identifier through their profile. When this occurs, all history and points associated with the old VCard are transferred to the new one. Similarly, users can request deactivation or reactivation of their VCard through VPortal or external systems using the API.
7.6. Third-Party Integrations
As part of the VCard system, VCards may be shared with third-party partners or organizations offering perks and rewards. This data is only shared when necessary for processing transactions (e.g., redeeming points or verifying check-ins) and is not sold or used for marketing purposes outside of VPortal’s scope.
7.7. Points and Rewards
VCard data is used to track points earned through activities such as check-ins, purchases, or event participation. These points can be redeemed for rewards through various partners. If users choose to redeem their points, we will deduct the appropriate amount from their account.
7.8. NFC and Wallet Integration
VCards can also be encoded into NFC chips for easy access and use with mobile wallets like Apple Wallet, Google Wallet, and Samsung Wallet. This integration allows users to access their VCard directly from their phone for check-ins or transactions.
